Who should I communicate with about different issues?

Since FIE is a small organization, you will probably come into contact with most of our staff at one point or another.  We encourage you to contact the department directly responsible for the area in which you have a question in order to expedite the process.

ACADEMIC TEAM

Communication related to advise on academic issues and help in planning the academic delivery of courses.

ADMINISTRATION TEAM

Angela Crosby: Study Centre Coordinator
Communication related to administration forms, confirmation of programme dates and student numbers, visiting faculty and FIE faculty (if any) details, grades, course outlines, course registration, immigration, health insurance, all study centre/classroom related questions and all IT enquiries.

What is the administrative process?

Administration forms

Revised forms will be sent to you by the administration team.  Completed forms should be returned to Study Centre Coordinator by the programme coordinator.

Deadlines by which the forms should be received

  • Fall: April 15th
  • Spring: October 15th
  • Summer: March 15th

Pre-arrival communication

On receipt of forms several emails are sent out to students which are listed below as pre-arrival information.  Programme coordinator and the visiting faculty (if there is one) will be copied on all these emails. 

Visiting faculty

They are contacted separately with information that is specific to them.  Initial contact is made with the administration department.

Course Registration

It is important to find out the registration for all courses as we would need to book a room appropriate for the group and also book tickets for the co-curricular activities.  We would expect to receive this information at the same time as the administration forms.

Grade Sheets

We request grades from FIE Faculty within 6 days of the last class and send a hard copy to the coordinator. 

Flight details

If there is a group flight airport transfer is arranged (minimum 8 students).  Flight details are sent to the Student Life team.

Program Dates and (Predicted) Numbers

These should be sent to the administration team.

Out of Hours Emergency Contact Details

This should be sent to the administration team and updated in case of changes.

What communication do students receive prior to arrival?

Admin welcome email

Includes FIE staff details, and essential information on London/Kensington, plus links to our website.

Internship welcome email

Request for resume and personal statement, a link to the Internship Handbook, link to the Internship Areas document and special requirements for certain areas e.g. political interests for a politics placement.

Student Life welcome email

Explaining the role of the student life office, gives a link to the pre-departure power point document which answers frequently asked questions.

Group flight & individual arrival instructions

How to reach the residences & collect keys.

US Embassy information

Information on how to register before departing for the UK.

Insurance information

Email with a link to the online policy document.

Mobile phones

Information on a recommended cell phone company.

Housing

An email informing students which residence has been assigned to them, and how to use the wireless internet connection (sent 30 days prior to arrival).

Academic Issues

Where applicable, emails from the Administration & Academic Services Manager regarding class registration and timetables.

Internship update

Information on when interns can expect to hear where they are placed, and other frequently asked questions.

Does FIE have an Emergency Response Plan?

Yes. FIE is committed to responding in an appropriate and timely manner to any individual or group emergency during a program.  The attached document outlines FIE’s emergency procedures.

Are students asked for feedback on their FIE study abroad program?

Yes. Depending on the program, students will complete a variety of evaluations at the conclusion of their term.
